Booking Procedure
Please telephone/fax (01981 540030) or text 07773 999 823 or email stay@pontbren-ddu.co.uk asap to confirm you require the cottage for the dates you have enquired about. This will hold the property for 3 days (2 in peak season or close to arrival date) until we receive your booking form (attached via email or downloaded from our website or posted/faxed to you).
What Happens Next?
When we receive your booking form, we will acknowledge receipt of your deposit/payment the same day (usually via email if available), advising you of the balance outstanding and the date it is due. Your booking is not confirmed until payment has been banked and cleared.
The balance is due 8 weeks before the start of your holiday (we will send an email to remind you a week before this date). On receipt of the balance of payment we will send directions to the property and key collection arrangements.
Christmas/New Year
Please book early to avoid disappointment. Tree and decorations ARE supplied unless requested otherwise.
Christmas Week/New Year Week and Royal Welsh Show Week are Peak Plus weeks and 2007/2008 prices are £650 for the full week.
Linen and Towels
All linen, blankets, pillows, duvets and eiderdowns are provided as are a supply of towels and tea towels. Cot linen is not included.
Cot, High Chair and Stair Gate Top and Bottom of Stairs
These are provided for your use. The high chair also converts into a junior table and chair. Cot linen is NOT supplied.
Heating
All fuel costs are included in the cottage weekly rental.
TV & Mobile Phone Reception
There is no TV or mobile reception at the cottage but we do supply a DVD player and DVDs and an emergency mobile is available with details on the nearest reception point (a 5 minute walk).
Keys
The keys will be the responsibility of the guest during their stay and the cost of any replacement in the event of loss or damage. Please treat them as you would your own.
Services
The water is supplied by our private borehole
The waste water goes to a septic tank
Electric is supplied by our private generator which is housed in the outbuilding (very simple to use and full instructions given). By running it for just an hour every other day (it sounds like a car engine ticking over in a garage for this hour) it charges a bank of batteries and this is what powers the electric and heats the water for the day. We are hoping to install more solar panels next year which will be even better! But whilst a minor inconvenience having to switch it on and off - the benefit of NOT having any overhead cables and pylons blotting the landscape is just lovely !
Country Life
Please keep dogs under close control at all times. Please do not allow them to worry sheep under any circumstances.
Sheep roam free in the surrounding countryside – so the gate to the property should be kept closed at all times to prevent access to the garden and plants!!
Any toys/balls knocked over the fence should be retrieved immediately to prevent harm to sheep by ingestion etc.
Ceiling Heights
This is an old cottage and was built in the days before minimum ceiling/door/window heights. The ceilings are a good height but the bedrooms have low windows – all windows have locks and there is a portable window gate for extra peace of mind for young children.
Cancellation
It is advised that holiday insurance should be taken up by clients.
A full refund will be given if the owners have to cancel the bookings due to fire or flood or unforeseen circumstances (eg. Closure of local paths due to foot & mouth etc)
No automatic refund will be given on cancelled bookings by the guest unless the owners are successful in re-renting the property then discretion will apply with the circumstances of the cancellation.
Client Responsibilities
· To pay for any loses or damages to the property or contents however caused (reasonable wear and tear excluded)
· To take good care of the property and leave it in a clean and tidy condition on departure
· Not to part with possession of the property or share it except with the other members of the property listed on the booking form
· To permit the owners access to the property to carry out any urgent maintenance
· The maximum number of persons allowed at the property is clearly stated and must not be exceeded (owners reserve the right to terminate the hire without notice and without refund if this condition is breached)
Duration and Times of Letting
Holiday accommodation is only available after 4pm on the first day of the letting and the client must vacate by 10am on departure day. This is to allow us sufficient time to handle cleaning and maintenance ourselves to ensure the highest standards for each and every guest.
Complaints
Any complaints should be bought to our attention immediately so it can be speedily resolved.
Every effort is made to ensure you have an enjoyable and memorable holiday – we are anxious to take remedial action immediately if there is any cause for complaint/concern.
Pets
Pets are welcome but the following should be observed
· Kept away from livestock
· Kept under control at all times
· Allergic reactions to pets can cause very serious illness and are therefore pets are not permitted in bedrooms/upstairs under any circumstances
· All pets must be up to date with flea and worming treatments
· That you accept total responsibility for your pets and its actions e.g. cleaning up mess etc
· Must not cause annoyance, become a nuisance or intimidate and should never be left alone in the property or garden.
Authority to Sign
The person signing the booking form certifies that he/she is authorised to agree the booking conditions on behalf of all persons included on the booking form. The signatory must be a member of the party occupying the property and must be 18 years of age or over. Bookings cannot be accepted from parties of people under 18 years of age.
Caring For Your Safety
Every reasonable effort has been made to indicate possible safety hazards. However, it is the guests responsibility (particularly parents with young children) to inspect the property and grounds immediately on arrival and note any possible hazards. Check the layout of the property so in an emergency you can get out quickly and easily – always be aware where the window lock keys are. Please read and respect any notices within the property.
Reception Service
We aim to leave you in peace to explore your surroundings in your own time, that is after all one of the reasons you chose a holiday is such a quiet location. However should you require a reception service, please advise when booking and we will be happy to greet you.
